As we continue to build a team who drives us forward, the Corporate Benefits Department is excited to announce the opening of an Executive Assistant!

 

ABOUT THE ROLE

The Executive Assistant will assist the Corporate Benefits leadership team, as an essential team member in supporting our efforts with our Global benefits and offerings.  This role requires a forward-thinking individual who thrives in a fast-paced environment and can anticipate needs, manage calendars, and handle sensitive information with the utmost confidentiality.

 

Strong communication skills are essential for drafting and reviewing benefit communications tailored to diverse internal and external audiences. Responsibilities include processing benefits-related legal documents, such as QMSCOs (Qualified Medical Support Court Orders), and ensuring compliance with court mandates. This role requires the ability to adapt, and problem solve, while utilizing exceptional planning and organization skills. The ideal candidate will be excellent at prioritization, a skilled communicator, and a trusted partner in facilitating the execution of leadership priorities with efficiency and discretion.

This position is located at our Corporate Headquarters in Clayton, MO

Responsibilities

Key Responsibilities:

  • Draft and review benefit communications tailored to diverse internal and external audiences.
  • Manage calendars including, but not limited to scheduling business appointments and managing conflicting appointments
  • Coordinate and prepare for meetings and events, including agenda preparation, meeting minutes, and follow-up actions
  • Coordinate travel arrangements (domestic and international) as necessary for the Corporate Benefits department including flights, hotels, and other necessary items
  • Compile data to prepare reports, presentations, and other materials
  • Create, produce, distribute, and compare reports; perform basic to intermediate analysis of report summaries
  • Create, establish, and maintain confidential and secure department documents and filing system
  • Oversee administrative functions and ensure smooth operations within the Corporate Benefits department
  • Process benefits-related legal documents, such as QMSCO’s (Qualified Medical Support Court Orders) ensuring compliance with court mandates
  • Prepare letters, presentations, statements, manuals, agendas and other business documents as needed
  • Coordinate basic accounting activities (expense reporting, invoice approval, purchase orders, etc.)
  • Screen and prioritize incoming calls, emails, meetings, and correspondence, directing them as appropriate
  • Complete ad hoc special projects as assigned
  • Potential to expand responsibilities to include more complex benefits functions and analyses

Qualifications

Required:

  • Five (5+) years or more of administrative experience supporting one or more executive leaders
  • Proficiency in MS office support tools 
  • Excellent organizational, written and verbal communication skills
  • Professional demeanor and discretion with sensitive information
  • Ability to multitask, prioritize and maintain attention to detail under pressure
  • Self-starter with a proactive, solutions-oriented attitude
  • High School Dipoloma/GED
  • Must have a valid driver's license with no alcohol or drug related event within the last 5 years and no more than 2 moving violations and/or at-fault accidents within the last 3 years  
  • Must be authorized to work in the United States and not require work authorization sponsorship by our company for this position now or in the future

Preferred:

  • Prior experience in compliance and benefits is a plus
