We are seeking a highly proactive, detail-oriented Executive Assistant to support an Executive/Senior Vice President. This role requires a forward-thinking individual who thrives in a fast-paced environment and can anticipate needs, manage complex calendars, and handle sensitive information with the utmost confidentiality. This position provides high-level calendar management and scheduling, travel arrangements, key communications, and meeting preparation while maintaining efficient office operations. This role requires the ability to adapt and problem solve, while utilizing exceptional planning and organization skills. The ideal candidate will be a master at logistics, excellent at prioritization, a skilled communicator, and a trusted partner in facilitating the execution of leadership priorities with efficiency and discretion.

Responsibilities

Key Responsibilities:

  • Calendar Management:
    Maintain and coordinate a dynamic and ever-changing calendar, including internal and external meetings, appointments, and events. Proactively resolve scheduling conflicts and ensure optimal time management.
  • Travel Coordination:
    Plan and manage complex domestic and international travel arrangements, including flights, accommodations, ground transportation, dinner reservations and detailed itineraries.
  • Report preparation:
    Compile data to prepare reports, presentations, and briefing materials for executives. Create, produce, distribute, and compare reports; perform basic to intermediate analysis of report summaries
  • Communication Management:
    Screen and prioritize incoming calls, emails, meetings, and correspondence, directing them as appropriate. Draft, review, and manage correspondence with professionalism and discretion.
  • Meeting Preparation:                                                                                                                                                                Coordinate and prepare for meetings and events, including agenda preparation, meeting minutes, and follow-up actions
  • Task & Project Management:
    Prepare letters, presentations, statements, manuals, agendas and other business documents as needed. Coordinate basic accounting activities (expense reporting, invoice approval, purchase orders, etc.) Track and manage multiple priorities and projects simultaneously, ensuring deadlines are met and deliverables are completed with excellence.
  • Confidentiality & Discretion:
    Handle sensitive information with the highest level of confidentiality and integrity. Create, establish, and maintain confidential and secure department documents and filing system
  • Anticipate Needs:
    Proactively identify and address the executive’s needs before they arise, ensuring seamless daily operations.

Qualifications

Minimum:

  • Five (5+) years or more of administrative experience supporting one or more executive leaders
  • Proficiency in MS office support tools 
  • Excellent organizational, written and verbal communication skills
  • Professional demeanor and discretion with sensitive information
  • Ability to multitask, prioritize and maintain attention to detail under pressure
  • Self-starter with a proactive, solutions-oriented attitude
  • High School Dipoloma/GED
  • Must have a valid driver's license with no alcohol or drug related event within the last 5 years and no more than 2 moving violations and/or at-fault accidents within the last 3 years  
  • Must be authorized to work in the United States and not require work authorization sponsorship by our company for this position now or in the future
