New Orleans Corporate Headquarters  is excited to announce the opening of an Executive Assistant located at our Administrative Office in Metairie, LA.

This is an excellent opportunity for someone who enjoys customer service, is extremely organized, detail-oriented, and highly aware of the importance of maintaining confidentiality. The Executive Assistant will perform a wide range of administrative duties along with providing direct support to our General Manager and Executive Team.


This opportunity requires a proactive approach to tasks/projects as well as exceptional communication skills and detail orientation. The ideal candidate will have experience supporting multiple department heads and will enjoy working in an environment that requires initiative, independent thinking, and the ability to juggle a variety of tasks, personalities, and projects effectively.

Responsibilities

Responsibilities include but are not limited to:

  • Providing a wide assortment of support for multiple business departments
  • Organizing schedules and maintaining calendar of appointments, meetings and travel itineraries
  • Creating and proofing documents using Word, Excel, PowerPoint, and Adobe Acrobat
  • Coordinating/planning trainings, presentations, celebrations, and other departmental events
  • Plan and coordinate all logistics for out-of-town, multi-day events, including venue selection, accommodations, and catering to ensure seamless execution
  • Develop detailed itineraries and event schedules, aligning with executive priorities and ensuring all participants are informed and prepared
  • Handle event budgeting and expense tracking, including negotiation with vendors to stay within budget and post-event reconciliation and reporting
  • Ensure all event materials, equipment, and presentations are prepared and delivered to the event location in advance and in proper condition
  • Performing general administrative duties, including phone and email communication
  • Maintaining documentation/files for projects on ongoing operational activities
  • Assisting our Business Controller with day-to-day operational duties
  • Taking initiative to analyze, change and/or develop system to improve office efficiencies
  • Open, sort, scan and deliver mail daily

  • Demonstrated proactive approach to problem-solving with strong, independent decision-making capability
  • Experience with general business, analysis, and accounting desired
  • Strong time management with a proven ability to meet deadlines
  • Must be able to take direction, thrive in a team environment, and operate independently
  • Strong ability to multitask and balance a heavy workload
  • Experience coordinating large scale off-site employee events

Qualifications

  • Five (5+) years or more of administrative experience supporting one or more executive leaders; prior experience supporting senior-level management preferred
  • Experience with content creation, social media strategy, and analytics
  • Advanced proficiency with Microsoft Office software including Outlook, Word, Excel, and PowerPoint
  • Ability to organize, sort, alphabetize and number documents in a timely and organized manner
  • Ability to maintain confidential information and discretion
  • Must be authorized to work in the United States and not require work authorization sponsorship by our company for this position now or in the future
