Overview

Enterprise Mobility has an immediate opening for a full-time Executive Assistant located at our Administrative Office in Richmond, VA.

 

Enterprise Mobility operates the Enterprise Rent-A-Car, National Car Rental, and Alamo car rental brands and has frequently been named one of the top places to work. This is an excellent opportunity for someone who enjoys customer service, is extremely organized, detail-oriented, and highly aware of the importance of maintaining confidentiality. The Executive Assistant will perform a wide range of administrative duties along with providing direct support to our General Manager and Executive Team.

 

Location: This position will be working in our administrative office located at 10571 Telegraph Rd Suite 200, Glen Allen, VA 23059

Compensation: This is a full-time position that offers a targeted annual compensation of $65,000-$75,000 based on previous relevant experience and provides full benefits such as medical, dental, vision, 401k, paid time off and other company paid benefits.

Schedule: This position will work 40 hours per week, Monday through Friday.

 

Responsibilities

Responsibilities include but are not limited to:

  • Providing a wide assortment of support for multiple business departments
  • Organizing schedules and maintaining calendar of appointments, meetings and travel itineraries
  • Creating and proofing documents using Word, Excel, PowerPoint, and Adobe Acrobat
  • Coordinating/planning trainings, presentations, celebrations, and other departmental events
  • Plan and coordinate all logistics for out-of-town, multi-day events, including venue selection, accommodations, and catering to ensure seamless execution
  • Develop detailed itineraries and event schedules, aligning with executive priorities and ensuring all participants are informed and prepared
  • Handle event budgeting and expense tracking, including negotiation with vendors to stay within budget and post-event reconciliation and reporting
  • Ensure all event materials, equipment, and presentations are prepared and delivered to the event location in advance and in proper condition
  • Performing general administrative duties, including phone and email communication
  • Maintaining documentation/files for projects on ongoing operational activities
  • Assisting our Business Controller with day-to-day operational duties
  • Taking initiative to analyze, change and/or develop system to improve office efficiencies
  • Open, sort, scan and deliver mail daily

  • Must be able to take direction, thrive in a team environment, and operate independently
  • Strong ability to multitask and balance a heavy workload
  • Experience coordinating large scale off-site employee events

Qualifications

  • Must have at least five years of experience as an Executive Assistant, supporting senior-level management preferred
  • Advanced proficiency with Microsoft Office software including: Outlook, Word, Excel, and PowerPoint
  • Must have a high school diploma/GED; college degree preferred
  • Must be at least 18 years of age
  • Must have a valid US driver's license for a minimum of 1 year
  • Must have a valid license with no more than 2 moving violations/speeding tickets and/or at fault accidents on driving record within the past 3 years. (Points on driving record cannot exceed a total of 8 points)
  • No drug or alcohol violations on within the past 3 years (DUI/DWI)
  • Must be authorized to work in the United States and not require work authorization sponsorship by our company for this position now or in the future
